Compliance Support Officer

As Property Compliance Support Officer you will be joining one of Northern Ireland’s largest Public Bodies where you will provide support to the Property Asset Management Department. You will play an important role in the ongoing audit, review and report processes to ensure compliance with legislative, regulatory and internationally recognised management and asset standards to both the Projects and Maintenance functions within the Property Division.

As Property Compliance Support Officer your new role will include but not be limited to the following:

• Review, amend and update the CAFM system to ensure all regulatory and legal information held for both the company and their Suppliers are current and relevant to site activities.
• Assist with internal and external SHEQ audits, reporting outcomes and assisting with the corrective action reports and ensuring sign-offs are complete.
• Compile and prepare monthly legionella monitoring reports (safety-critical) for the monthly departmental meetings. Record and flag any testing failures and forward to Helpdesk for urgent action.
• Process invoices, checking invoices are arithmetically correct
• Produce monthly reports to the Executive, reflecting own audits and reviews for example contract spend, supplier performance, SHEQ legal & legislative compliance and safety-critical issues.
• Ensure safety standards are appropriate and compatible with construction works by co-ordinating with Network Assurance & Safety Department. Influencing change where required.
• Manage and confirm the accuracy and validity of contractor timesheets.
• Collate and process risk assessments and prepare and issue work reports on contractor/supplier-specific document portals.
• Liaise with contractors, maintenance officers, invoice department, operation & engineering team regarding contractor works and payment applications.
• Assisting Quantity Surveyor / Maintenance Officers with tender documentation and preparation of contracts.

To be considered for this role you will have:

• Minimum of 3 year’s previous experience working in a clerical administration role within a similar construction, maintenance or facilities environment.
• Experience of processing, analysing and document control management of high volumes of data.
• Experience in producing reports for review by senior management.
• Experience of using Microsoft Office packages including Word, Excel and Outlook.

It would be Desirable if candidates had the following:

• Experience of dealing with Construction Contracts.
• A Nebosh H&S/Environmental qualification
• Experience of reporting on CAFM or financial systems e.g. Agresso, CONCEPT.
• H&S and Environmental training
• Undertaking or reviewing internal audits
